2. Roles and responsibilities
Depending on how you use The Wedy, we may process your data in different roles:
- Platform users (couples and planners): We are the data controller for account, billing, and platform usage data.
- Guests: When a couple collects RSVPs or guest details through their wedding project, the couple is generally the data controller and we process guest data on their behalf as a data processor.
If you are a guest with questions about how your RSVP data is used, please contact the couple who invited you. We can assist them in responding to your request where appropriate.
3. Information we collect
Account and profile information. When you register, we collect your name, email address, account type (couple or planner), and authentication details. If you sign in with Google, we receive basic profile information from Google according to your Google account settings.
Wedding project data. Couples and planners may store wedding details, website content, guest lists, RSVP responses, seating arrangements, floor plans, and related planning notes.
Payment information. Payments are handled by Stripe. We receive transaction confirmations and limited billing details (such as the last four digits of a card and billing country), but we do not store full card numbers on our servers.
Usage and technical data. We collect information about how you use the platform, including pages visited, features used, device type, browser, IP address, and approximate location derived from IP. This helps us maintain security, diagnose issues, and improve the product.
Communications. If you contact support or receive service emails, we keep a record of those messages.
4. How we use information
We use personal data to:
- Provide, operate, and maintain The Wedy platform.
- Create and manage your account and wedding projects.
- Process payments and fulfill purchased plans and add-ons.
- Enable guest-facing features such as RSVP forms and public wedding websites.
- Run AI-assisted planning tools you choose to use, such as seating suggestions or guest insights.
- Calculate and pay planner commissions on qualifying referrals.
- Send transactional messages such as receipts, account notices, and security alerts.
- Detect, prevent, and address fraud, abuse, and security issues.
- Analyze usage to improve features, performance, and reliability.
- Comply with legal obligations and enforce our Terms.
We process data based on contract performance, legitimate interests (such as security and product improvement), legal obligations, and — where required — your consent.
5. How we share information
We do not sell your personal data. We share information only when needed:
- Service providers who help us run The Wedy, including Firebase (hosting and database), Stripe (payments), Google (sign-in), and OpenAI (AI features where enabled). These providers process data on our instructions and under appropriate safeguards.
- Couples and planners where guest or project data must be visible to authorized users of a wedding project.
- Public wedding pages when couples choose to publish invitation websites or guest lookup features. Only information the couple chooses to display will be visible.
- Legal and safety when required by law, court order, or to protect rights, safety, and security.
- Business transfers in connection with a merger, acquisition, or sale of assets, subject to continued protection of your data.
6. International transfers
We and our service providers may process data in the European Economic Area and in other countries. Where data is transferred outside the EEA, we rely on appropriate safeguards such as Standard Contractual Clauses or equivalent mechanisms required by applicable law.
7. Data retention
We retain account and wedding project data for as long as your account is active and as needed to provide the service. After a wedding, couples generally retain access to their project according to their plan.
We may retain certain records longer where required for legal, accounting, or dispute-resolution purposes — for example, payment records retained in accordance with tax and financial regulations.
When data is no longer needed, we delete or anonymize it within a reasonable period, unless retention is legally required.
8. Security
We implement technical and organizational measures designed to protect personal data, including encryption in transit, access controls, and secure authentication. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
You play an important role too: use a strong password, keep credentials private, and limit access to your wedding project among collaborators.

Depending on where you live — particularly if you are in the European Economic Area or United Kingdom — you may have the right to:
- Access the personal data we hold about you.
- Correct inaccurate or incomplete data.
- Request deletion of your data in certain circumstances.
