How to Politely Remind Guests to RSVP

Remind one person, not the whole chat

- Write to the named guest, not a group chat

The day after the deadline. Name the reason — catering — so it does not sound like a scold.

Last call before the vendor cutoff. Offer a text answer, then type it into the guest list yourself.
Hi Aunt [Name], just a gentle reminder about [wedding date]. The RSVP is this link — [link] — or you can tell me yes or no here. We need to know by [deadline]. Love, [Name]
Older relatives. Give a way out of the form without opening a second system.

Email and text templates
Email works for work colleagues and guests who already gave an address on the form. SMS is for people who will not open WhatsApp. The sentences stay the same; only the length changes.

Email. Keep the subject specific so it does not look like marketing.

What not to write
Phrases that make people hide
- A group message that names nobody and shames everybody
- “If we do not hear, we will assume you are not coming” as the first reminder
- A new Google Form because the first link “was confusing”
- A joke about seating or catering costs
- Asking again for meals from someone who already replied
- All-caps deadlines or read-receipt pressure
If someone has already said yes in a chat, thank them and still ask them to tap the link, or enter the answer yourself. The goal is one trustworthy list, not a perfectly digital guest.
